All members of the Penn State community can use the Researcher Metadata Database. Penn State users can also act as proxies on behalf of other Penn State users (with the users’ approval). For instructions regarding proxies, please see Proxies in the Researcher Metadata Database.
- Navigate to your Manage Profile Publications page and authenticate if needed.
- Find the article you wish to deposit on the list under “Publication.” Check the icon in the “Open Access Status” column to the right of the title.

- If the icon is an unlocked lock, the Libraries have already identified an open access version of the article in a trusted repository (e.g., in a coauthor’s institutional repository or in a funder repository). You don’t need to do anything further.
- If the icon is a locked lock, you or a Penn State coauthor have received a waiver of the open access policy for the article.
- If the icon is an hourglass, an open access version of the publication is currently being added to ScholarSphere.
- If the icon is an exclamation mark in a circle, adding the publication to ScholarSphere failed. Please try again in a little while or contact support for assistance.
- If the icon is a question mark, the open access status of the publication is currently unknown. Click the title to deposit your accepted manuscript (“post-print”), submit a URL for an open access version, or submit a waiver.
- If the icon is an incomplete circle, the publication is in press. The open access policy will not apply until the date of publication.

- To deposit an article that does not yet appear in the list under “Publication,” click “Search” to search the database and claim publications that we haven’t been able to link to your profile. We will review the articles you claim. If your claim is approved, you will be able to take action on the article from this page. Contact rmd-admin@psu.edu with questions.
